The Executive Assistant provides high-level administrative and operational support to the Vice President of People and Senior Directors, enabling them to operate efficiently and remain focused on strategic priorities. This role serves as a trusted partner, managing executive schedules, communications, and complex administrative workflows while exercising sound judgment, discretion, and proactive problem-solving. The Executive Assistant may also coordinate work across administrative staff, support cross-functional initiatives, and help streamline processes that enhance leadership effectiveness within the People organization.
Executive & People Operations Support
Provide high-level administrative and operational support to the Vice President of People, enabling focus on organizational strategy, talent outcomes, and leadership effectiveness.
Prepare, edit, and manage executive‑level documents, presentations, and materials, many of which involve highly sensitive employee, leadership, or organizational information, with discretion and sound judgment.
Maintain secure, organized digital records and documentation related to People leadership initiatives, executive materials, and confidential personnel matters.
Calendar, Meetings & Rhythm of Business
Manage complex calendars and scheduling for People leadership, balancing competing priorities and ensuring alignment with strategic goals and organizational rhythms.
Coordinate travel and logistics for leadership meetings, off sites, and conferences, ensuring seamless planning and execution.
Support People leadership meetings by assisting with agenda preparation, materials distribution, note-taking, and tracking follow‑ups as appropriate.
Executive Communications & Stakeholder Partnership
Draft, edit, and proofread communications on behalf of the VP of People, ensuring clarity, professionalism, and alignment with organizational values and tone.
Serve as a trusted point of contact between People leadership and key internal and external stakeholders, facilitating communication, prioritizing requests, and resolving routine issues independently.
Exercise discretion in managing sensitive inquiries related to employees, leaders, organizational changes, and People programs.
Cross‑Functional Coordination
Partner closely with leaders and teams across HR, Legal, Finance, Talent, DEI, and the broader organization to coordinate initiatives, meetings, and timelines.
Support execution of People programs, leadership initiatives, and change efforts by ensuring strong coordination, communication, and follow‑through.
Reporting, Analysis & Presentations
Prepare executive-ready reports, summaries, and briefing materials related to People initiatives, talent metrics, and organizational activities, requiring research, synthesis, and interpretation of data.
Develop polished presentations and materials for leadership meetings, executive reviews, and People‑related communications.
Policy, Process & Continuous Improvement
Support the interpretation and administration of People policies, programs, and procedures within established guidelines, applying independent judgment and escalating appropriately.
Identify opportunities to improve administrative workflows, tools, and processes that enhance efficiency, confidentiality, and the overall effectiveness of the People organization.
Computer, filing, and 10-key skills required
Attention to detail is necessary; strong analytical skills favored
Identify and meet customers' expectations and requirements
Strong organizational, record-keeping, and follow-up skills
Remarkable level of discretion and interpersonal skills to handle sensitive and confidential matters and documentation
Advanced computer and Microsoft Office skills (Outlook, Word, Excel, etc.); Oracle preferred
Prioritize and manage multiple tasks, changing priorities as necessary
Work under pressure and adapt to changing requirements with a positive attitude
Oral and written communication skills as required for the position.

Bachelor's degree preferred
Minimum 10 years' previous administrative support experience, preferably in a construction environment
Can be a combination of education, training, and relevant experience
