YOUR NEXT OPPORTUNITY:

Field Administrative Assistant is responsible for providing administrative and clerical assistance to General Superintendent, Superintendents and 500 + field employees. Verifying and organizing new / rehire field. Process multiple job weekly time cards. Work as the go between corporate payroll and the field.

WHAT YOU'LL DO:

  • Doing field payroll weekly - verifying all employees are paid correctly and on time.

  • Field new hire on boarding/handing out PPE.

  • Working with field payroll in San Jose with questions etc.

  • Prioritize and process all timecards from each job locations and through full payroll cycle.

  • Mailing direct deposit slips weekly

  • Sort Checks per job for truck delivery weekly

  • Submit field employee maintenance phone changes, address changes and W-4 changes.

  • Submitting missed time, layoffs, retro pay as needed.

  • Reviewing time card discrepancies

  • Managing accounts for pre-employment testing (Live Scans, Vaccinations & Drug Testing)

  • Sending out weekly random drug testing to field.

  • File Organization.

  • Ordering all PPE or New Hires and Field employees

  • Working with Certified payroll w/any questions they might have.

  • Maintaining all manpower requests from Superintendents.

  • The duties and responsibilities are intended to describe the general nature and scope of work being performed by this position. This is not a complete listing and other duties will be assigned based on the position role within the business unit.

  • Duties very daily depending on emails received.

WHAT YOU BRING TO US:

  • Associate degree in Business Administration or related discipline

  • Minimum 2 years' experience in office administrative work

  • Can be a combination of education, training, and relevant experience

WHAT YOU'LL NEED TO BE SUCCESSFUL:

  • Computer, filing, and 10-key skills required attention to detail is necessary; strong analytical skills favored

  • Proficient in using a computer and Microsoft Office (Outlook, Word, Excel, etc.); Oracle preferred

  • Prioritize and manage multiple tasks, changing priorities as necessary

  • Work under pressure and adapt to changing requirements with a positive attitude

  • Oral and written communication skills as required for the position

  • Self-motivated, proactive and an effective team player

  • Interact effectively and professionally with all levels of employees, both management and staff alike, vendors, clients, and others

WORKING CONDITIONS:

  • General work environment - sitting for extended periods, standing, walking, typing, carrying, pushing, bending. Work is conducted primarily indoors with varying environmental conditions, such as fluorescent lighting and air conditioning.

  • Noise level is typically low to medium.

  • Occasional lifting of up to 30 lbs.

Pay Range

$21.35-$28.00 Hourly
