The Fleet Specialist is responsible for ensuring the efficient and safe operation of the organization's vehicle fleet through coordination of maintenance, repairs, driver support, data tracking, and vendor management.
This role requires excellent decision-making, communication, and problem-solving skills, with the ability to work independently on non-routine tasks and adapt procedures as needed. The ideal candidate will have strong organizational abilities and a proactive approach to fleet management and operations support.
Manage the day-to-day technical aspects of vehicle maintenance, repairs, and fleet operations to ensure maximum efficiency.
Procure vehicles through acquisition or leasing, ensuring alignment with organizational needs and budget.
Coordinate vehicle maintenance schedules and repair activities in compliance with company standards.
Assign drivers to vehicles based on operational requirements and ensure timely updates.
Monitor and ensure fleet compliance with all regulatory and safety standards.
Track, manage, and analyze fleet data to support reporting, performance improvements, and cost efficiency.
Serve as the primary point of contact for driver support, resolving issues and ensuring operational readiness.
Develop and maintain vendor and supplier relationships to ensure timely and cost-effective procurement of vehicles, parts, and services.
Contribute to the development and enforcement of fleet safety protocols and operating procedures.
Monitor and manage vehicle tracking systems (GPS, telematics, etc.).
Generate reports on fleet metrics for management review and decision-making.
Performs other related Fleet specific job duties as required.
Proficient in using a computer and Microsoft Office (Outlook, Word, Excel, etc.);
Proficient in using electronic devices (i.e., phone, tablet, computer) for safety audit software and emails.
Strong organizational, record-keeping, and follow-up skills
Ability to prioritize and manage multiple tasks, changing priorities as necessary
Ability to work under time pressure and adapt to changing requirements with a positive attitude
Effective oral and written communication skills as required for the position
Ability to be self-motivated, proactive, and an effective team player
Ability to interact effectively and professionally with all levels of employees, both management and staff alike, vendors, clients, and others
Knowledge of construction fleet and DOT regulations is a plus.
Ability to handle sensitive information with discretion.
Bachelor's Degree (4 year) or equivalent experience
Experience in fleet management, logistics, or customer service roles
Knowledge of vehicle maintenance procedures and regulatory standards.
Demonstrated ability to build solutions and drive continuous improvement.
PHYSICAL DEMANDS
Employee will be required to communicate in person, via telephone, email, video chat and software systems. Position may require travel to construction sites and industrial facilities requiring mobility (on ground and at heights) and the use of personal protective equipment (PPE) including but not limited to: hard hat, safety glasses/goggles, ear plugs/muffs, masks/respirators, safety vests, gloves and work boots
General work environment - sitting for long periods, standing, walking, typing, carrying, pushing, bending. Work is conducted primarily indoors with varying environmental conditions such as fluorescent lighting and air conditioning
Noise level is usually low to medium; it can be loud on the jobsite.
