YOUR NEXT OPPORTUNITY:
The Leave Coordinator provides direct support to employees throughout the leave of absence process, serving as the primary point of contact for leave-related questions and coordinating the exchange of information between the Company's third-party leave administrator, employees, managers, Payroll, Benefits, and other internal stakeholders. This role is responsible for supporting leave cases from initiation through return to work, ensuring timely communication, accurate documentation, payroll coordination, and adherence to established policies and procedures.
As part of the HR Operations team, the Leave Coordinator performs the day-to-day administration of leave programs, assists employees in navigating the leave process, resolves routine issues, and helps ensure cases move efficiently and accurately through each stage of the leave lifecycle. This position works closely with Payroll and Benefits and follows established leave policies, processes, and guidelines under the direction of the Sr. Manager, Benefits and guidance of the Senior Leave Specialist.
This is an individual contributor role within HR Operations and is primarily focused on operational execution, employee support, and case management.
WHAT YOU'LL DO:
Leave Case Administration
- Serve as the day-to-day point of contact with the third-party leave administrator on individual leave cases, following documented intake, tracking, and case-management procedures.
- Process leave requests and maintain accurate, up-to-date leave records in accordance with established policy and process.
- Track case status and required documentation through the full leave cycle, from intake through return to work.
Employee Support
- Respond to employee questions regarding leave status, process, and documentation requirements, applying established policies and procedures and escalating issues that require interpretation or exception review.
- Provide support to HR staff regarding questions on leaves of absence policies, practices, and processes.
- Troubleshoot routine, precedented issues that arise during a leave case; escalate ambiguous or one-off scenarios to the Senior Leave Specialist rather than interpreting policy independently.
Systems, Vendor Management, and Reporting
- Provide various reports.
- Enter and coordinate timecard adjustments related to leave, ensuring accurate and timely processing.
- Serve as the first point of contact for Payroll when leave-related pay questions or discrepancies arise.
- Reconcile information provided by the state, third-party leave and disability administrator, Payroll and HR Systems
Process & Compliance Awareness
- Follow documented leave process and policy consistently across cases; flag process gaps or inconsistencies for the Senior Leave Specialist rather than resolving or tracking them independently.
- Escalate to the Senior Leave Specialist any case that requires plan-level interpretation, eligibility judgment, or a policy exception.
WHAT YOU BRING TO US:
- High school diploma or equivalent required; Associate's degree in Human Resources, Business, or a related field or equivalent experience required.
- 2-3 years of experience in leave administration, benefits support, or a similar transactional HR role.
- Familiarity with leave programs (including FMLA, CFRA, state-mandated leave, company leave policy) is preferred.
- Experience with an HRIS platform is required (Workday preferred).
- Employee-focused, service-oriented, and empathetic, with the ability to manage difficult conversations, diffuse tension, and deliver a positive employee experience.
- High attention to detail and strong follow-through on case documentation and deadlines.
- Strong written and verbal communication skills.
- Comfortable working within documented process and escalating ambiguity rather than independently interpreting policy.
- Ability to handle confidential employee information with discretion.
WORKING CONDITIONS:
- General work environment - sitting for long periods, standing, walking, typing, carrying, pushing, bending. Work is conducted primarily indoors with varying environmental conditions such as fluorescent lighting and air conditioning
- Noise level is usually low to medium; it can be loud on the jobsite.

Pay Range
$26.90-$35.50 HourlyThe pay range for this role is what we expect to pay for candidates that meet the specified qualifications and requirements listed on this job description. Candidate's pay can vary based on location, job-related experience, skills, and education.
