The Payroll Specialist is responsible for processing biweekly payroll for multiple companies and supporting multiple areas in payroll-related requests.
Prioritize and audit time records from various locations, make corrections or adjustments and process through full payroll cycle.
Calculate and prepare manual layoff/termination/adjustment checks.
Ensure accuracy and timely distribution of payroll checks to all office locations.
Set up garnishments/3rd party checks.
Review and set up per diem payment through payroll.
Respond to requests for employment verification.
Respond to EDD/PFL audits.
Assist employees with Kronos related questions or adjustments.
Update, set-up or terminate Kronos records as necessary.
Maintain and file payroll forms and records.
Help provide time records to back up project cost audit or billing.

SUMMARY:
The Payroll Reporting Specialist ensures certified payroll reports, OCIP reports, and other required reports are submitted timely. They work with the field payroll processing teams, the project management teams, and other agencies to make sure reports are accurate and fulfill all reporting requirements. We are looking for a quick learner with strong organizational skills, and someone with a positive team player attitude who can juggle multiple tasks.
ESSENTIAL DUTIES & RESPONSIBILITIES:
Generate and submit certified payroll, prevailing wages, and OCIP reports
Analyze payroll data for compliance with prevailing wage laws and other contractual requirements
Gather required documents to submit to the appropriate agencies
Identify new or changing requirements and make sure they are setup in the system correctly
Ensure file uploads are successful for multiple online reporting tools
Troubleshoot upload errors, identify complications, and answer prevailing wage questions
Coordinate with subcontractors and owner operators to ensure they are compliant
Support project teams and external customers with project set up related to reporting requirements
Interpret union agreements and understand wage determinations to make sure correct rates are applied to the appropriate projects

EDUCATION AND EXPERIENCE:

SUMMARY:
The Payroll Reporting Specialist ensures certified payroll reports, OCIP reports, and other required reports are submitted timely. They work with the field payroll processing teams, the project management teams, and other agencies to make sure reports are accurate and fulfill all reporting requirements. We are looking for a quick learner with strong organizational skills, and someone with a positive team player attitude who can juggle multiple tasks.
ESSENTIAL DUTIES & RESPONSIBILITIES:
Generate and submit certified payroll, prevailing wages, and OCIP reports
Analyze payroll data for compliance with prevailing wage laws and other contractual requirements
Gather required documents to submit to the appropriate agencies
Identify new or changing requirements and make sure they are setup in the system correctly
Ensure file uploads are successful for multiple online reporting tools
Troubleshoot upload errors, identify complications, and answer prevailing wage questions
Coordinate with subcontractors and owner operators to ensure they are compliant
Support project teams and external customers with project set up related to reporting requirements
Interpret union agreements and understand wage determinations to make sure correct rates are applied to the appropriate projects

EDUCATION AND EXPERIENCE:
Minimum two years of experience generating and submitting certified payroll, prevailing wages, and OCIP reports
Union and multi-state payroll processing experience in the construction industry preferred
Bachelor's degree or or a combination of education, training, and relevant experience
KNOWLEDGE, SKILLS & ABILITIES:
Knowledgeable about federal, state, and local prevailing wage requirements including Davis-Bacon
Knowledgeable about LCPTracker and other reporting tools
Experience generating and submitting certified payroll, prevailing wages, and OCIP reports
Payroll experience and knowledge related to union fringes and labor laws
Ability to successfully manage multiple tasks, meet deadlines, and take on new responsibilities
Effective oral and written communication skills with the ability to explain complex data
Need to have data entry skills, be detail-oriented, and have solid time management skills
Proficient in using a computer and Microsoft Office (Outlook, Word, Excel, etc.)
Ability to work under time pressure and adapt to changing requirements with a positive attitude
Ability to be self-motivated, proactive, and an effective team player
Ability to interact effectively and professionally with all levels of employees, both management and staff alike, vendors, clients, and others

The Field Payroll Specialist is responsible for ensuring that all employees are paid accurately and timely. Processes multiple weekly union/nonunion payrolls with more than 600+ employees including multiple companies. Supports multiple areas in weekly payroll related requests.
Prioritize and process all timecards, corrections, and adjustments from field locations.
Ensure accuracy and timely delivery of payroll checks to all site locations.
Calculate and prepare manual layoff/termination/adjustment checks.
Processes transfers to ensure checks print in the correct location.
Keep accurate control and distribution of payroll-related reports and payments.
Processing an accurate transfer of the weekly costing and ENCE transfers for all payrolls.
Run Transfer to GL.
Maintain and update rate changes for employee's and processes retro payments if required.
Input over-scale and special agreements.
Set-up garnishments, 3rd party payments.
Process terminations.
Keep current on state and federal regulations to ensure accurate compliance with payroll accounting laws, regulations, and requirements.
Process and set up credit union accounts and payments.
Proficient with in-house software and experienced in downloading and transmitting report details.
Provides training to subordinates.
Assist in payroll-related month-end closing activities.
Produces payroll reports as required for state, federal, union, or corporate reporting purposes.
